DocuSign MOU and Required Training Instruction for Access

How do I get a DocuSign account for my Department?

  • For a Department to gain access to a DocuSign account, a completed Memorandum of Understanding (MOU), signed by all Account Administrators and the Data Proprietor, is required. Depending on how long you take to complete the training, we recommend budgeting approximately 1 - 2 weeks from the time the MOU is initiated until your DocuSign Production accounts are active and ready to use. 
  • Department Administrators and the Data Proprietor should meet to discuss the nature of their department's data that will be collected and stored via DocuSign forms. All parties must know and agree on the type of data that will be collected and managed. See the Data Protection Level link for information.

Steps to complete the MOU 

All L4 accounts are required to sign an MOU to gain access to a DocuSign accounts 

The MOU is a contract. Read it slowly and carefully for content and accuracy. Here's a PDF copy for you to review. 

  1. Gather to discuss: Decide who will be your Department’s Account Administrators (Admin 1 and Admin 2) and one Data Proprietor. You can have up to four Administrators. There is no hierarchy for Administrators, 1, 2, 3,4  just refer to a sequence of signers. Only one designated Administrator from your departmental team should initiate this MOU. 
  2. The MOU will auto-route to all Account Administrators and the Data Proprietor named in the MOU for review and signature. Finally, the MOU will be reviewed and approved, and access to the DocuSign Demo account will be provisioned within 5 business days.
  3. Complete the Training (see below for detailed training). Depending on how long you take to complete the training, we recommend budgeting approximately 1 - 2 weeks from the time the MOU is signed until your DocuSign accounts in Production are live and ready to use.

FIVE Step MOU process- Designing, Signing, Training & Attestation, Review

  1. Step 1  DESIGN: Please check the ARCHIVE list of accounts to see who signed an MOU for your department in the past.  If you don't know your Department, look it up in the Ledger. Be sure to look for "L4 Department Groups". You may email esignatures-support@berkeley.edu at this time to request that any account Administrators who will not sign the MOU have their role lowered to Powerform Admin. Have more questions?   2. Step 2  SIGN: Ready to sign? Know who is signing and all signers are prepared? Only one designated Administrator from your departmental team should initiate this MOU.  Open this Job Aid to use side by side in a split screen to guide you through this signing process. (At any point during the signing process if you'd like Accessible support for any reason at all, please email esignatures-support@berkeley.edu.   1. Step 3  TRAINING: 

    In addition to completing the User and Administrator Training, thoroughly review the Getting Started as an Account Administrator and Department Account Administrator Quick Start Guide and DocuSign eSignature Administrator Guide.

  2. Step 4  ATTESTATION: Lastly, every Department Administrator who signs the MOU must submit a ticket to esignatures-support@berkeley.edu to attest that they have completed the training and are ready to work in a live Production environment.
